This policy describes how V3 Marketing ("we", "us", or "V3MG") collects, uses, and protects information in connection with the V3 Axis client portal (the "App").

1. Introduction

V3 Axis is a client portal that lets the clients of V3 Marketing view and manage support tickets, review billing and invoices, and — for marketing clients — access growth reporting across connected marketing platforms. This Privacy Policy explains what information we collect through the App, how we use it, and the choices you have. By using the App, you agree to the practices described here.

2. Information We Collect

We collect the following categories of information:

  • Account & sign-in information: When you sign in with Google, we receive the email address and basic profile information (such as your name) associated with your Google account, as authorized by the Google OAuth scopes you consent to. We use this to create and identify your portal account.
  • Contact information: Name, email address, phone number, and company affiliation, provided by you or by your account team when you are invited to the portal.
  • Support communications: The content of support tickets and replies you send us, including email and SMS (text) messages you exchange with our team. We process these to provide support and maintain a record of the conversation.
  • Billing information: Ticket-related billing details such as hours, rates, and line items, and invoice records synced from our accounting system (QuickBooks). We do not collect or store full payment card numbers through the App.
  • Phone & call data: For clients using our voice support, phone numbers, call logs, and (when you leave one) voicemail recordings and transcripts, used to deliver and document phone support.
  • Marketing performance data: For growth-portal clients, aggregated performance metrics pulled from your connected marketing accounts (such as Google Analytics, Google Ads, Meta Ads, and Google Search Console) and lead-form submissions from your website.
  • Usage & technical data: IP address, browser type, device information, and interaction logs collected automatically as you use the App, used for security, reliability, and improvement.

3. Google Sign-In

The App offers "Sign in with Google." When you use it, Google shares the email address and basic profile information you authorize. We use this solely to authenticate you and populate your portal account name and email. We do not use your Google credentials to post to Google, access your other Google data, or take any action on your Google account beyond authentication. You can revoke the App's access at any time from your Google account security settings.

4. How We Use Your Information

We use the information we collect to:

  • Authenticate you, create and maintain your portal account, and keep you signed in securely.
  • Deliver and manage support tickets and route your email and SMS replies to the right team member.
  • Prepare, track, and deliver billing records and invoices tied to your tickets.
  • Provide and operate the growth portal, including displaying marketing analytics and lead data you or your team have connected.
  • Send you service updates, security alerts, billing communications, and responses to your inquiries.
  • Monitor usage for security, fraud prevention, and reliability, and to improve the App.

5. Third-Party Services

We integrate with third-party services to power features of the App. These providers process data only as needed to deliver those features and are bound by their own privacy and security commitments. They include:

  • Google — for sign-in (email and basic profile), and, for growth-portal clients, Google Analytics, Google Ads, and Google Search Console data you have connected.
  • QuickBooks (Intuit) — for invoice and billing record sync.
  • Twilio — for phone, SMS, and voicemail functionality.
  • Meta — for Meta Ads performance data, where connected.
  • Google Workspace / Gmail — to send and receive email on your behalf for support and report delivery.
  • Your website (e.g., Gravity Forms) — for lead-form submissions, where you have authorized that connection.

We do not sell your personal information to third parties.

6. How We Share Information

We share your information only as necessary to provide the App's services (for example, with the providers listed above), as required by law, or with your consent. Within V3 Marketing, access to your data is limited to the team members who need it to support your account. We do not rent or sell your personal information.

7. Data Security

We implement appropriate technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. Sensitive credentials used by the App are encrypted at rest. No method of transmission or storage is completely secure, but we work to protect your information using industry-standard safeguards.

8. Data Retention

We retain your personal information for as long as necessary to provide our services and fulfill the purposes described in this policy, and afterward only as needed to meet legal, accounting, or reporting requirements. You may request deletion of your data at any time by contacting us.

9. Your Rights & Choices

Depending on where you live, you may have the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate or incomplete data.
  • Request deletion of your personal information.
  • Opt out of certain communications.
  • Revoke the App's access to your Google account at any time from your Google security settings.

10. Children's Privacy

The App is not directed to children under 16, and we do not knowingly collect personal information from them. If you believe a child has provided us with personal information, please contact us so we can delete it.

11. International Users

The App is hosted in the United States. If you access the App from outside the U.S., your information may be transferred to and processed in the U.S. and other jurisdictions. By using the App, you consent to such transfers.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy and revising the "Last updated" date. Your continued use of the App after changes are posted means you accept the updated policy.
